# HaileyHR

Connect your employee data with Suptask

The Hailey HR connector links Suptask to your Hailey HR account. Once connected, a Suptask AI Assistant can look up employees, their managers and teams, start and end dates, and company details from Hailey - straight from a ticket, without an agent opening Hailey.

To connect it, you generate a **personal access token** in Hailey HR and paste it into Suptask. What the connector can reach is decided by the permissions of the Hailey account that generated the token.

The connector is currently **read only**. The Assistant can look things up in Hailey, but can't create or change anything there.

**Use cases:**

* Enrich an HR or IT ticket with the requester's department, manager, role or start date.
* Answer "who is my manager?" or "who reports to me?" without an agent looking it up.
* See who joined recently, so IT onboarding tickets can be checked against Hailey.
* See who is leaving soon, so access and equipment can be reclaimed on time.
* Look up company details, such as legal entity or address, when a ticket needs them.
* Check headcount for a team or the whole company.

### Before you begin

You'll need:

* An **admin** role in Suptask.
* A Hailey HR account with the **View & edit - Integrations** right. Hailey administrators have this by default.
* The **Inbox** and **Assistant** in Suptask that you want to connect Hailey HR to.

What you'll do:

* Generate a personal access token (MCP) in Hailey HR
* Paste the token into Suptask
* Enable the tools your Assistant should use

### Step 1: Generate an access token in Hailey HR

1. Log in to Hailey HR.
2. Click your profile picture or initials in the bottom left corner.
3. Open **Access tokens**.
4. Select the **MCP** type.
5. Give the token a name, for example `Suptask AI`, and click **Generate**.
6. Copy the token.

Hailey HR shows the token only once. Copy it and store it securely before you close the window - if you lose it, you'll need to generate a new one.

**The token inherits the permissions of the account that created it.** Suptask can see exactly what that Hailey user can see, and nothing more.

* If you generate the token from a personal account, the connector stops working if that person leaves or loses access.
* A dedicated Hailey user for integrations avoids this, and makes it easy to review and adjust what Suptask can reach.

Tokens in Hailey HR are valid for one year. Hailey emails company admins a reminder before a token expires. When it does, generate a new token and update the connector in Suptask.

### Step 2: Connect Hailey HR in Suptask

1. In Suptask, go to **Intelligence** in the menu and select the **Inbox**.
2. Add the **Hailey HR** connector.
3. Paste your **access token**.
4. **Save** to store the connector.

When it's done, the connector status changes to **Connected**.

### Available tools

Once the connector is connected, it provides a set of **tools** to your [Suptask AI Assistants](https://claude.ai/suptask-ai/ai-assistants.md). Each tool is one specific thing the Assistant can look up in Hailey HR.

| Tool                          | What it does                                                 |
| ----------------------------- | ------------------------------------------------------------ |
| **Company Data**              | Read company details, such as name, legal entity and address |
| **Employees**                 | List employees and their details                             |
| **Employee**                  | Read the full details of one employee                        |
| **Employee Count**            | Get the number of employees                                  |
| **Employees By Name**         | Find employees by name                                       |
| **Employees Below Manager**   | List everyone who reports to a given manager                 |
| **Employees By Joining Date** | List employees who joined within a date range                |
| **Employees By Leaving Date** | List employees who are leaving within a date range           |

All tools are **read only**. The Assistant can't create, update or remove anything in Hailey HR.\

### Choose how each tool runs

Each tool is set to **Off**, **Ask** or **Auto**. This is where you decide how much the Assistant handles on its own.

* **Off** - the Assistant can't use the tool at all.
* **Ask** - the Assistant pauses and asks an agent to approve before the tool runs.
* **Auto** - the Assistant runs the tool on its own when it needs it.

A good starting point:

* Set the tools you need to **Auto**. Since every tool only reads data, the Assistant can answer questions and enrich tickets without slowing anyone down.
* Set anything your team doesn't need to **Off**. An IT Assistant that only checks managers and start dates doesn't need **Company Data**.

Tools are set per Assistant, so two Assistants on the same Inbox can use the same connector differently. An HR Assistant might use every tool, while a general IT Assistant only looks up employees and managers.

### Example workflows

Every Assistant can be customized to your needs. Below are examples of how the Hailey HR connector can work once connected.

**A) Enrich a ticket for the agent**

1. A ticket arrives in the IT Inbox.
2. The Assistant looks up the requester in Hailey HR and reads their department, role, manager and start date.
3. The details are posted on the ticket, so the agent knows who they're helping without opening Hailey.

**B) Answer a "who is my manager?" question automatically**

1. A user submits a ticket asking who their manager is, or who to ask for an approval.
2. The Assistant finds the requester in Hailey HR and reads their manager.
3. The answer is posted on the ticket - either directly to the requester, or only visible to agents.

**C) Check upcoming leavers**

1. An agent asks the Assistant who is leaving this month.
2. The Assistant reads employees by leaving date from Hailey HR.
3. The list is posted on the ticket, so IT can plan access removal and equipment returns.

**D) Verify an onboarding request**

1. An HR ticket requests accounts for a new hire.
2. The Assistant reads employees by joining date and confirms the person exists in Hailey HR, along with their team and manager.
3. The agent proceeds with the confirmed details, or asks HR to add the employee in Hailey first.

### Troubleshooting

* **Authentication failed** - the token is incorrect, has expired or was revoked in Hailey HR. Generate a new token and update the connector.
* **Connected, but some data is missing** - the Hailey account that generated the token can't see that data. Check the permissions of that account in Hailey HR, or generate a new token from an account with wider access.
* **Employees By Name returns nothing** - the name isn't spelled the way it is in Hailey HR. Try a partial name, or search by email through the Employees tool.
* **The Assistant can't create or update an employee** - the connector is read only. Changes in Hailey HR need to be made in Hailey directly.
* **A lookup waits and never happens** - the tool is set to **Ask** and no agent has approved it yet. Approve it on the ticket, or set the tool to **Auto** if it should run on its own.
* **The connector stopped working after a year** - the token has expired. Generate a new token in Hailey HR and update the connector.
